The problem this tool solves

When managing projects using tools such as MS Project, usually only the the project manager has the most up-to-date information on what is happening in the project.

Task owners need to inform the project manager who then updates the project plan and submits the latest version to everyone. This often results in multiple version of the plan being out in the public domain and a lot of administrative work for the project manager as well.

Solution

We use a web-based tool that ensures:

• task owners are automatically notified via email of new tasks with their names on it
• task owners can update the completion or progress of their task at any time
• actual time spent as well as project issues and logs can be registered against individual task items by task owners

This ensures that:

• all company projects are visible and managed in one place
• all project information is up-to-date and available in one place
• all project team members are kept abreast of new actions and tasks automatically - they get automatic email notifications
• senior management can view progress of all projects in a matter of seconds

For instance, the image below shows a live snapshot of all our projects that are in progress, with the dotted line marking the current date. You also get to see at a glance the % completion of each project. You can then dive into the detail of each project and task by simply clicking on the project of interest.

We manage all our projects this way. Hence our clients can come to our web site and get a progress update at any time they want.
